What is outsourced IT support?
Outsourced IT support means contracting an external managed service provider (MSP) to handle your business technology instead of employing in-house IT staff. You get helpdesk access, proactive monitoring, patching, security and vendor management — a whole team's capability — for a predictable monthly cost.
The business case is straightforward: one in-house IT person costs a UK employer significantly more than most managed contracts once salary, employer National Insurance (13.8%), pension (minimum 3%), recruitment fees, training, hardware and the cost of covering their holidays and sick days are counted. And one person cannot provide cover for themselves, cannot know everything, and cannot be in two places.
Outsourcing flips that: you get a team with breadth across networking, Microsoft 365, security, hardware and cloud — all included, with cover built in, for a monthly fee that fits inside an operating budget rather than a headcount.
Outsourced IT support vs hiring in-house: the real cost comparison
The industry's default answer is "every business is different" — true, but unhelpful. Here is how the arithmetic actually works.
| Cost factor | In-house hire | Outsourced MSP |
|---|---|---|
| Salary (IT support, UK avg) | £28,000–£45,000 | Included |
| Employer NI (13.8%) | £3,900–£6,200 | Included |
| Pension (min 3%) | £840–£1,350 | Included |
| Recruitment fees | £3,000–£6,000 (one-off) | None |
| Training & certification | £1,000–£3,000/yr | Included |
| Holiday & sick cover | Not covered | Always covered |
| Breadth of expertise | One person's knowledge | Full team |
| Out-of-hours monitoring | Rarely | Standard |
| Typical annual cost (20 users) | £35,000–£60,000+ | £9,600–£19,200 |
How the per-user pricing works
UK outsourced IT support is priced per user, per month. Most 10–50 user businesses land in the £30–£80 per user per month range. Where you fall depends on:
- User count — more users means a lower per-user rate
- Servers vs cloud-only — on-premise servers add monitoring, patching and backup workload
- Coverage hours — business hours, extended, or genuine 24/7
- Whether security tooling and Microsoft licences are included or passed through separately
- Number of sites and how much on-site time is in the plan
The honest threshold: for most businesses under about 80 users, outsourced IT wins on straightforward arithmetic. Past that size — or where IT is genuinely your product — a hybrid model makes sense: an internal hire backed by an MSP for helpdesk volume, out-of-hours cover and specialist work. We offer both, so we have no incentive to pretend otherwise.

What outsourced IT support actually includes
The reason IT support is hard to compare is that almost nobody publishes their scope. Here is ours — including what's not in the monthly fee. If a cheaper quote lands on your desk, check it against this list; the gap is almost always hiding in the exclusions.
- Helpdesk and remote support for every covered user
- Proactive monitoring of servers, devices and network — 24/7
- Patching and security updates on a scheduled basis, not when someone remembers
- Endpoint protection and managed antivirus on every device
- Microsoft 365 administration, backup and licence management
- User onboarding and offboarding, including starters' devices and leavers' access removed
- Hardware procurement, configured and tested before it arrives
- A named engineer contact — not a ticket number and a wait
Charged separately — and we say so upfront
- Major projects (office moves, server migrations, new infrastructure) — scoped and quoted separately
- Hardware and software purchases — passed through at cost with our recommendation in writing
- Development work and bespoke software — we'll say so honestly rather than dabble
Managed outsourced support vs break-fix: why it matters
Break-fix charges you only when something is already broken — which means the provider profits from your downtime. Managed outsourced IT support flips the incentive: a fixed monthly fee for monitoring, patching and maintenance designed to stop failures in the first place, because now your downtime costs us.
Already have in-house IT? Co-managed support
Co-managed IT is where your internal IT person or team handles the work they own and enjoy, and we cover the rest: helpdesk volume, out-of-hours monitoring, holiday and sick cover, and specialist areas — security, Microsoft 365 administration, compliance — where depth matters.
The result is that your internal hire is no longer a single point of failure, you're not dependent on what one person happens to know, and the business has proper cover without doubling headcount. We split the scope clearly in the contract so there's never a grey area about who owns what.
How switching to outsourced IT support works
Switching is the thing that stops businesses from moving, so here is exactly how it works — step by step.
Estate audit
We audit your current setup — devices, servers, licences, backups, security posture — before anything changes. We quote against reality, not guesswork.
Formal handover request
We request documentation and admin credentials from your incumbent. This is a standard, routine handover — your tenancy and data belong to you, and providers know it.
Take over monitoring and helpdesk
Your team starts raising tickets with us while we run in parallel with your incumbent's monitoring until we're confident everything is covered.
Migrate remaining services
Email, backup, security tooling and any outstanding services migrate on an agreed timetable — planned so your team keeps working throughout.
Check your notice period early. 30 to 90 days is typical, and the transition can run in parallel so you're never without cover. If your incumbent is slow releasing credentials — it happens — we have a standard escalation process. It is your tenancy and your data.
You own your credentials — always. Your Microsoft tenancy, domains, licences and admin passwords are documented in your name from day one, and handed over in full, without obstruction, if you ever leave us. Plenty of providers use credentials as leverage. We put the opposite in writing.

Security and compliance as part of the service
Omega IT is Cyber Essentials certified (2026, via CyberSmart). Cyber Essentials is the UK government-backed security baseline covering firewalls, secure configuration, access control, malware protection and patching. We also help clients achieve their own certification, which some public-sector contracts require — check the individual contract requirements, as they vary.
As your outsourced IT provider we typically act as a data processor under UK GDPR, and a written data processing agreement is part of how we contract — something UK GDPR Article 28 expects between a controller and processor, and something most SMEs are never told they need from their MSP.
The Microsoft 365 backup gap
Microsoft keeps the service running, but under its shared responsibility model, protecting your data against accidental deletion, ransomware and rogue insiders remains your obligation — not Microsoft's. We recommend and deploy independent Microsoft 365 backup for exactly this reason.
Why outsourced IT support works for growing UK businesses
The businesses that benefit most from outsourced IT are those that depend on their systems day-to-day but don't have IT as their product: professional services, legal, accountancy, construction, property, healthcare admin, logistics. In those businesses, IT downtime costs money directly and immediately — and that's exactly the context where the managed, fixed-fee model makes the most financial sense.
It also scales cleanly. Adding ten users doesn't mean re-interviewing IT candidates. Losing five users doesn't leave you carrying a salary. The contract adjusts; the cover doesn't drop.
