Title card: Outsourced vs in-house IT, what a UK small business actually pays and gets

Every growing business reaches the same fork in the road: do we hire someone to look after IT, or do we outsource it to a managed service provider? This guide compares the two honestly for a UK SME, using indicative public market data rather than sales spin, so you can work out which fits your size and situation. (We do not quote our own prices here.)

    What you are actually comparing

The choice is rarely "an IT person" versus "no IT person". It is really about how you buy a set of outcomes: a working, secure, well-supported IT estate. There are three common models:

    • In-house: you employ one or more IT staff.
    • Outsourced (managed IT / MSP): an external provider runs your IT for a monthly fee.
    • Co-managed: a blend, where in-house staff handle day-to-day work and a provider adds tools, security and cover.

The true cost of an in-house hire

A single IT employee's cost is much more than their salary. Add employer's National Insurance, pension, holiday and sick cover, training and certifications, and the software and monitoring tools they need to do the job. Then consider the gaps: one person works office hours, takes holidays, and cannot be an expert in networking, cloud, security and procurement all at once. When they are off, or when something falls outside their expertise, you are exposed or paying extra for ad-hoc help.

That does not make hiring wrong. A dedicated person who knows your business is valuable, particularly past a certain size. But the headline salary understates the real cost and overstates the coverage.

What outsourced IT gives you, and what it costs

An outsourced provider spreads a whole team across many clients, so you get breadth of skills, monitoring and out-of-hours options for a predictable per-user fee. Published UK market guides are broadly consistent on the bands:

Indicative UK managed IT support pricing per user per month: metered under £40, basic £40 to £55, standard £55 to £95, premium £100 to £150
Indicative per-user bands from UK MSP pricing guides, October 2026. Not an Omega IT quote.

As a rough guide, independent UK pricing guides put a business-hours service desk at around £30 to £55 per user per month, a fuller service with security and backup at roughly £55 to £95, and 24/7 or compliance-grade cover at £100 to £150. Expect a one-off onboarding fee and usually a 12-month minimum term. The single biggest hidden cost is security and backup: a cheap headline price often excludes them, so compare what is actually included, not just the number. Our guide to how IT support is priced breaks this down.

In-house vs outsourced, side by side

The pattern is consistent: in-house gives you dedicated attention and deep knowledge of your business, at the cost of single-person risk and limited breadth; outsourcing gives you breadth, resilience and predictable cost, at the cost of a contract you need to get right.

    The middle ground: co-managed IT

Many growing businesses do not choose one or the other. Co-managed IT keeps your in-house person for the things they do best, who knows the business, is on site, handles the day-to-day, and adds a provider for the tooling, security stack, out-of-hours cover and specialist projects one person cannot sustain. It is often the best value once you employ IT staff but still have gaps.

    How to decide

    Ask yourself:

    • What would a day without email, files or systems cost us?
    • Who covers evenings, weekends, holidays and sickness today?
    • Do we need skills, such as security monitoring, that one generalist cannot realistically cover?
    • Is our IT spend predictable enough to budget for?
    • Do customers, insurers or schemes expect controls we cannot currently evidence?

If the honest answers point to gaps in cover, breadth or predictability, outsourcing or co-managing is likely the better fit. If you mainly need a trusted pair of hands who lives in the business and the budget supports it, an in-house hire, usually still backed by a provider for security and out-of-hours, may be right. A worked example: a 15-person office

To make the trade-off concrete, picture a typical 15-person office, using only indicative public figures (not an Omega IT quote). A single in-house IT hire is a salary plus employer's National Insurance, pension, holiday and sick cover, training and tools, and that one person still works office hours and cannot be an expert in everything. Outsourced support for the same team, at the standard band of roughly £55 to £95 per user per month from published UK pricing guides, lands in the region of £800 to £1,400 a month for a service that includes a whole team, monitoring, security and out-of-hours options. The exact figures vary with scope and are illustrative, but the shape is consistent: below a certain size, outsourcing buys more cover for the money, and the crossover where a dedicated hire makes sense tends to arrive in the mid-tens of users and above.

    When each model wins

In-house tends to win when you are large enough to keep someone busy and valuable, when deep knowledge of a specialist system matters day to day, or when having a familiar face on site is important to the culture, usually still backed by a provider for security and out-of-hours.

Outsourcing tends to win when you need breadth of skills, resilience against holidays and sickness, predictable budgeting, or security cover you could not staff yourself, which is most small and growing businesses. The honest test is not which is cheaper on paper, but which gives your business the cover it actually needs for a price it can plan around.

    Frequently asked questions

Is outsourced IT cheaper than hiring in-house?

It depends on size, but for most small businesses a single in-house hire costs more than an outsourced plan once salary, National Insurance, pension, holiday, training and tools are added up, and one person cannot cover every skill or every hour. Outsourcing turns that into a predictable monthly fee. Larger organisations often use a mix.

How much does outsourced IT support cost in the UK?

Published market guides put managed IT support broadly at £30 to £55 per user per month for a business-hours service desk, £55 to £95 for a fuller service with security and backup, and £100 to £150 for 24/7 and compliance cover. These are indicative ranges, not a quote; the figure depends on users, hours, on-site needs and what's included.

    What is co-managed IT support?

Co-managed IT keeps your in-house person or team and adds an external provider for tools, monitoring, security and out-of-hours cover. It is a common middle ground for growing businesses that already employ IT staff but need more breadth or resilience.

What are the risks of outsourcing IT?

The main risks are a vague contract, slow response, and losing control of your own systems. Mitigate them by agreeing scope and response times in writing, and making sure your domain, Microsoft 365 tenant and licences are registered to your business, not the provider's.

How many users make an in-house hire worthwhile?

There is no fixed number, but many businesses only justify a full-time hire in the mid-tens of users and above, and even then often keep an external provider for security, out-of-hours and specialist projects. Below that, outsourcing usually gives more cover for the money.
